A possible customer journey

A warm welcome.
A clear next step.

A great first impression.
A clear next step.

Your front desk does more than answer questions. It helps people feel understood and gets the right work moving. Here’s what we could shape around yours.

  • Welcome the enquiry

Give customers a helpful place to start. Shape the greeting and tone around your business and the reason they got in touch.

  • Answer the everyday questions

Help with opening hours, service areas, what you offer and other agreed questions, using information your team has approved.

  • Move towards a booking or quote

Find out what the customer needs and help them take the agreed next step, from a booking request to a useful quote brief.

  • Capture the details once

Gather the relevant information as the conversation unfolds, so your team can pick up with the context already there.

  • Bring in the right person

Route the requests that need judgement, a sensitive conversation or a decision to the agreed team contact.

  • Improve through conversation review

Review how the pilot handles real questions. Agree updates to answers, routing and boundaries as you learn what customers need.

From first question
to next step.

Not every conversation needs the same answer. The goal is to give each customer the right next step, and your team the context to take it from there.

“Can you help with an installation?”

A potential customer wants to know whether you cover their area and how to get a quote.

The receptionist could answer from your approved service information, ask where the work is needed and gather the details your team needs to assess it.

A conversation with somewhere to go.

  1. The customer asks about the service on an agreed channel.
  2. The receptionist checks approved information and gathers relevant details.
  3. A scoped workflow could prepare a booking request or quote brief, where the agreed tools allow it.
  4. Human handoverYour team receives the context and takes over for judgement, approval or a question outside the agreed answers.

Illustrative journey, not a live demo or client result. Booking confirmations, quote approval and connections depend on the agreed scope. We plan a fallback if a handover cannot be completed.

Start where it matters.
Grow from there.

The channel is the doorway. The customer journey is what we design around.

Options to explore

Website chat, WhatsApp or Telegram could be a starting point. Slack may be useful for internal team handover. These are candidate channel adapters, with availability confirmed for each rollout.

We assess the accounts, provider requirements, authorised access and costs before agreeing a connection. Start with the channel that matters most, then scope others as the need becomes clear.

For phone-based enquiries, explore Voice AI Assistants. Phone setup, languages and usage are assessed separately.

Built around your business.
Set up with Woblar.

You know your customers. We help turn that knowledge into a defined, tested front-desk experience. Woblar leads configuration with your team, from the first map to pilot review.

  1. 01

    Map your front desk

Look at where enquiries arrive, what people ask and where the next step gets stuck. Choose one useful place to begin.

  2. 02

    Agree how it should work

Approve the knowledge, tone, details to collect, permitted actions and human handover. Check the proposed channels and connections.

  3. 03

Test before customers rely on it

Try realistic conversations together: straightforward questions, missing details, unknown answers and handoffs that cannot be completed.

  4. 04

    Start with a focused pilot

Launch only the agreed scope once approved. Set review points, a fallback route and the changes that need your approval.

Clear scope.
Then a clear price.

Shape the right first rollout

We agree the enquiries to cover, channels to assess, information to use, permitted actions and route to your team. Pilot timing, review points, support arrangements and responsibilities form part of that scope.

You’ll need an owner for the business information and someone who can test and approve the experience with us.

Understand what it takes to run

Setup, ongoing care and third-party costs are discussed before you commit. Depending on the scope, that may include AI usage, channel providers, telephony or connected business software.

We agree who pays which costs and how usage is reviewed. New channels, workflows or wider coverage are scoped separately.

A few useful
questions first.

The right receptionist starts with clear expectations. These are the questions we’ll work through together.

Can I use an AI receptionist today?

We’re shaping pilot projects for this developing service. Start with a conversation about your business; we’ll confirm whether a focused pilot is feasible, what it would include and when it could begin. This page is an offer to explore, not a live assistant or an activation flow.

Do I need to configure it myself?

Woblar leads the setup with your team. You provide the business knowledge and approve how it should respond and when a person takes over. Self-service setup is a future possibility, not a feature available through this page.

Is it only for WhatsApp?

No. The receptionist is designed around the customer journey, with channels chosen to suit it. Website chat, WhatsApp and Telegram are options to assess; Slack may be useful for internal handover. We confirm feasibility, account requirements and costs for each rollout.

Can it book appointments or connect to our systems?

We can assess your booking, quoting or customer-management tools as part of the scope. A booking request is different from a confirmed appointment: the permitted actions, approval steps, connections and fallback must be agreed and tested. No connection is included simply because it is mentioned here.

What happens when someone needs a person?

We agree who should take over, the relevant context they receive and how the customer is told what happens next. We also agree a backup when the person or connection is unavailable. Human response times and coverage depend on your team’s agreed arrangements.

What if it does not know the answer?

The receptionist should acknowledge the gap and follow the agreed route for clarification or human help. We set the boundaries of approved information and test unknown questions rather than expect it to answer everything.

For a deeper focus on answering ongoing customer questions, explore AI Customer Support Assistants.

If an enquiry needs work across your systems, Workflow Automation could support the next step. Any additional workflow is agreed as part of the scope.

What would a better
front desk make possible?

Tell us where enquiries arrive, what customers need and where you’d like the conversation to go. We’ll explore a focused first pilot with you.
