Approved knowledge

Prepare a draft.
Review before use.

Your team knows the business.
Give that knowledge a repeatable process.

Your team has answers, notes and experience that could help customers or colleagues. Preparing each piece from scratch, finding the right source and checking different versions can make that work difficult to repeat.

We build a scoped workflow around agreed source material and reusable templates. AI assists with draft preparation and adaptation into the formats you choose. A named person checks accuracy, tone and suitability before anything is published.

We agree what the workflow handles, where review happens and which outputs your team needs. Tool connections are included only when agreed and feasible. Publishing stays with your team; the workflow does not automatically publish or provide unlimited content creation.

One approved FAQ.
Three drafts to check.

An illustrative example, not client proof or a working demo. The source, formats and review steps are agreed for your business.

Before: the same answer is rewritten each time.

  1. A team has an approved customer FAQ but prepares each new version from scratch.
  2. Website, email and social drafts are kept separately, making it harder to check them against the source.
  3. The team has to work out who should review each draft before it can be used.

With the agreed workflow: prepare, adapt and review.

  1. Your team confirms the approved FAQ and the intended audience.
  2. AI assists with a draft website answer, email and social post using the agreed templates. Each remains a draft.
  3. Named content approverA person checks each draft against the source for accuracy, tone and suitability, and requests changes before use.
  4. Your team decides whether and when to publish the approved versions.

AI can produce mistakes or unsuitable wording. Human review is part of the workflow. We do not guarantee traffic, leads or sales.

A workflow your team
can follow and maintain.

We agree the sources, formats, responsibilities and acceptance checks before building.

  1. An agreed content workflow

A clear sequence from approved source material through draft preparation, format adaptation and human review, with a named approver and clear responsibilities.

  2. Reusable templates

Templates for the agreed formats, with guidance for using your sources, audience and tone. Your team can repeat the process within the delivered scope.

  3. Any scoped tool connections

Connections are included only where agreed and feasible, after checking access, capabilities and costs. The scope records what connects and what your team does manually.

  4. Testing, documentation and handover

Test the agreed steps and outputs against the approved sources, including the review step. Provide documentation and team handover/training so people know how to prepare drafts, check them and use the workflow.

Bring the source material
and the person who can approve it.

  • Approved source material. Accurate FAQs, notes or other business knowledge that your team is authorised to use.
  • Your audience, tone and formats. Who the content is for, tone examples or brand guidance, and the formats you need.
  • Authorised access where needed. Access to the tools included in the agreed scope, with the relevant permissions.
  • A named content approver. Someone who can confirm accuracy, tone and suitability, with time to test and validate the workflow with us.

Support for the delivered workflow.
New content work scoped separately.

30 days of scoped support

From the agreed go-live, 30 days of support covers faults and help using the delivered workflow. It does not include ongoing drafting or new content campaigns.

Agree formats, connections and costs upfront

New formats, integrations and ongoing content production are separately scoped. Tool subscriptions and usage costs are agreed upfront, before building.

Workflow Automation covers the steps between your existing tools and people. Any wider handoff beyond the agreed content workflow is scoped separately.

For a review of how customers find and understand your website, see Search and AI Visibility. A content workflow does not include that review by default.
