The enquiry is there.
Who has the next step?

For a small service team, enquiries can sit across inboxes, messages and notes. Someone copies the same details into another tool, then discovers the information needed for a quote is missing.

The quote may wait because ownership is unclear. After it is sent, follow-up depends on someone remembering to check. A customer reply or an unusual request can leave the team unsure what to do next.

We help you map that process, agree who is responsible and decide where a focused workflow or tool could help. The starting point is how your team works today.

From a scattered enquiry
to a clear next step.

An illustrative small service-business scenario, not a customer case study or working demo. A maintenance business receives a request for work and needs the details, an approved quote and a follow-up owner.

Before: copying, checking and chasing.

Enquiry details sit in different places. Missing information surfaces during quoting, and people have to ask who owns the next action. Follow-ups can be forgotten.

With an agreed process: an owner and a visible status.

The team can see what is missing, who reviews the quote and when follow-up is due. Exceptions return to a person. The steps below illustrate one possible scope.

  1. An enquiry arrives

A request comes in through an agreed channel. The project defines which channels are included and how the enquiry reaches the responsible team.

  2. Details are captured and gaps flagged

Capture the required job and contact details. Flag missing information so a responsible person can obtain it before quoting.

  3. Human judgement and approval

A person reviews the enquiry and quote

A responsible person checks the request and prepares or approves the quote using agreed rules and templates. They check prices, discounts, scope and commitments.

  4. The approved quote is sent

Send the quote through an agreed process after approval. Agree who can send it, which channel to use and what record to keep.

  5. Follow-up is tracked

A named owner sees when follow-up is due. Reminders or approved messages may be included where appropriate and agreed. A customer reply or status change stops scheduled follow-up and returns the next decision to a person.

  6. Outcomes and exceptions are recorded

Record whether work is accepted, declined or still awaiting a decision. Unusual requests, missing access and quoting exceptions go to the agreed responsible person.

AI may help organise details or prepare a draft within agreed rules. It does not independently set prices, approve discounts or commit the business. Any message automation needs agreed triggers, permissions, approval and stop rules before use.

Agree the part
worth improving first.

These are possible deliverables, selected for your process. Only the capabilities named in your agreed scope are included. We agree the scope and acceptance checks before work starts.

  • Enquiry capture

Capture the agreed details from selected channels, with a clear way to identify missing information.

  • Shared status tracking

Show the current stage, responsible owner and next action in an existing tool or a focused shared view.

  • Quote-preparation support

Prepare information or a draft using agreed quote rules and templates, with human review before approval or sending.

  • Follow-up reminders

Show when an owner should follow up. Automated messages are considered only if separately assessed and included in the agreed scope.

  • Exception handling

Make missing details, unusual requests and failed handoffs visible to the person responsible for resolving them.

  • A basic view of outcomes

Show agreed enquiry and quote statuses so your team can review what happened. Measures and sources are chosen for the project.

The agreed delivery includes testing, documentation and team handover/training for the selected scope. No conversion, revenue or sales result is guaranteed.

Services that could
support the process.

Your project may use one service or a combination. We consider existing software first and agree what is needed; this use case is not a fixed bundle.

Bring the process
and the people who own it.

We need the team’s working rules and examples to agree a useful, testable scope.

  • Your current process. How enquiries arrive, where they wait, and representative enquiries and quotes your team is authorised to share.
  • Quote rules and templates. Pricing, discount and approval rules, the required details, and who can commit the business.
  • Tools and authorised access. The systems you use now and access where needed for the agreed work.
  • Responsible owners. Who handles enquiries, approves quotes, follows up and receives exceptions, with time to test the process together.
  • Communication requirements. Preferred channels, customer permissions, approved wording, follow-up timing and when messages must stop.

Decide the scope, support
and costs before work starts.

Agree the connections and controls

Channels, integrations, message automation and permissions are assessed and agreed per project. Feasibility, account access, human review and exception handling determine what can be delivered.

Confirm the commercial terms

We agree project pricing, delivery scope, support and ongoing costs before work starts. This includes third-party subscriptions and usage charges.
